How to use rollup fields to aggregate data in Airtable?

Step 1: Create a Base

First things first, start by creating a new base or picking an existing one in Airtable where you want to gather data using rollup fields.

Step 2: Set Up Related Tables

Make sure you've got at least two related tables. One should have the detailed records (like "Transactions") and the other should be the parent table (like "Accounts").

Step 3: Create a Linked Record Field

In the detailed records table (e.g., "Transactions"), create a "Linked Record" field that links to the parent table (e.g., "Accounts"). This sets up the relationship between the individual records and the parent table.

Step 4: Insert a Rollup Field

Head over to your parent table (e.g., "Accounts") and add a new field. Choose "Rollup" as the field type.

Step 5: Configure the Rollup Field

When prompted, configure the rollup field:

  • Choose the linked record field: Select the linked record field you created in Step 3.
  • Choose the field to roll up: Pick the specific field from the detailed records table you want to aggregate (e.g., "Amount").
