How to use Airtable to track time spent on tasks?

Step 1: Create a New Base in Airtable

  • Head over to your Airtable dashboard.
  • Hit the "Add a base" button.
  • Choose "Start from scratch."
  • Give your base a name that makes sense, like "Time Tracking."

Step 2: Set Up Your Table

  • In your new base, create a new table by clicking the '+' button next to "Table 1."
  • Rename the table to something like "Task Time Tracking."

Step 3: Configure Columns

  • Task Name: Change the "Name" column to "Task Name."
  • Description: Add a new field, pick "Long text" to give more details about the tasks.
  • Start Time: Add a new field, choose "Date," and tick the "Include a time field" option.
  • End Time: Add another "Date" field and also tick "Include a time field."
  • Duration: Add a new field, set it to "Formula." Use DATETIME_DIFF({End Time}, {Start Time}, 'minutes') to calculate the duration in minutes.
  • Assignee: Add a new field, set it to "Single select" to list team members responsible for tasks.

Step 4: Add Records for Each Task

  • Click on the "Task Name" field to start entering your tasks one by one.
  • Fill in details like description, start time, end time, and assignee for each task.

Step 5: Use Views for Better Visualization

  • Click on "Grid view" and duplicate it to create specialized views.
  • Rename one view to "Completed Tasks" and set up a filter to only show tasks where the "End Time" isn't empty.
  • Rename another view to "Pending Tasks" and set up a filter to show tasks where the "End Time" is empty.

Step 6: Automate Time Tracking (Optional)

  • Go to the "Automations" tab.
  • Click "Create an automation," then "New automation."
  • Set up a trigger like "When a record is created" and choose actions like setting default start times or notifying team members when a task starts.

Step 7: Generate Reports

  • Use Airtable's "Blocks" feature to create visual reports.
  • Add a Block like "Chart" or "Summary" to visualize the total time spent on tasks by assignee, task type, etc.

Step 8: Export Data

  • Click the "Download CSV" button available within your views to export your time tracking data for further analysis or sharing with stakeholders.
