How to use Airtable for product roadmap planning?

Step 1: Sign Up and Set Up Your Workspace

  • First things first, if you don't have an Airtable account, go ahead and create one.
  • Once you're in, log in to your Airtable account.
  • Now, either create a new workspace or pick one you already have where you want to manage your product roadmap.

Step 2: Create a New Base

  • Click on "Add a base" in your chosen workspace.
  • You can start from scratch or use a template. For a product roadmap, starting from scratch gives you more flexibility.

Step 3: Design the Base Structure

  • Give your base a name, like "Product Roadmap".
  • Add tables that make sense for your project, such as:
  • Features
  • Tasks
  • Releases
  • Feedback

Step 4: Customize Columns

  • For the "Features" table, add columns like:

  • Feature Name (Single line text)

  • Status (Single select, options: To Do, In Progress, Done)

  • Priority (Single select, options: Low, Medium, High)

  • Owner (Collaborator)

  • Target Release (Link to another table: Releases)

  • For the "Tasks" table, add columns like:

  • Task Name (Single line text)

  • Feature (Link to another table: Features)

  • Assignee (Collaborator)

  • Deadline (Date)

  • Completion Status (Checkbox)

  • For the "Releases" table, add columns like:

  • Release Name (Single line text)

  • Release Date (Date)

  • Version (Single line text)

  • For the "Feedback" table, add columns like:

  • Feedback Description (Long text)

  • Feature Request (Link to another table: Features)

  • Submitted By (Collaborator)

  • Date Submitted (Date)

Step 5: Enter Initial Data

  • Start filling in your tables with initial data. Add details of the current and upcoming features, tasks, releases, and feedback.
  • Make sure that linked columns correctly reference the related tables.

Step 6: Set Up Views

  • Create different views to make navigation and management easier. For example:
  • Kanban View for "Features" based on the status field.
  • Calendar View for "Releases" based on the release date.
  • Grid View default for detailed list formats.

Step 7: Utilize Filters and Grouping

  • Use filters and grouping to focus on specific data, such as:
  • Filtering "Features" by Priority to see high-priority tasks.
  • Grouping "Tasks" by Assignee to see work distribution.

Step 8: Collaborate with Team Members

• Invite team members to your base using the sharing options.
  • Assign tasks to team members in the "Tasks" table.
  • Enable comments to discuss specific records within the base.

Step 9: Set Up Automations

  • Create automations to streamline your workflow, such as:
  • Sending notifications when a task deadline is near.
  • Automatically updating the status of tasks when sub-tasks are completed.

Step 10: Regularly Update and Review

  • Keep your base updated with new data.
  • Periodically review the roadmap to adjust priorities, timelines, and reassign tasks as needed.
