How to handle Figma file permissions for team members?

Step 1: Open the Figma File

First things first, open up the Figma file you need to manage. Make sure you have the right permissions to tweak the sharing settings.

Step 2: Click on the Share Button

Look up at the top-right corner of Figma. See that "Share" button? Give it a click. This will bring up the sharing settings dialog.

Step 3: Add Team Members

In the sharing dialog, there's a field where you can type in email addresses. Go ahead and enter the emails of the folks you want to invite. You can separate multiple emails with commas.

Step 4: Set Permission Levels

Next to each email address, you'll see a dropdown menu. This is where you set the permission level. The options usually are:

  • Can View: They can only look at the file.
  • Can Edit: They can both view and edit the file.

Pick the right permission level for each person based on what they need to do.

Step 5: Send Invitations

Once you've added all the emails and set the permissions, hit the "Send invite" button. This will send an email to each person, giving them access to the file.

Step 6: Review and Adjust Permissions

To check or change permissions later:

  1. Click the "Share" button again.
  2. In the sharing dialog, scroll to see the list of current collaborators.
  3. Use the dropdown next to each name to adjust permissions.

Step 7: Remove Team Members

Need to remove someone? Here's how:

  1. Click the "Share" button.
  2. Find the person's name in the list of collaborators.
  3. Click the "Remove" button (usually a 'X' or 'trash' icon) next to their name.

This will immediately revoke their access.

Step 8: Share with a Link (Optional)

If you need to share the file more broadly, you can use a link:

  1. Click the "Share" button.
  2. Turn on the "Anyone with the link" option.
  3. Set the permission level for the link (e.g., Can View, Can Edit).

Share this link with anyone who needs access.

Step 9: Manage Team Permissions (Team Projects)

For team projects:

  1. Go to the team project in Figma.
  2. Click on the project’s name to open settings.
  3. Head to the “Team Members” section.
  4. Adjust access levels or remove users as needed.
