How to handle archiving of old records in Bubble.io?

Understanding the Requirement     Archiving old records in Bubble.io involves removing older data from the primary database and storing it in an archive database. This helps maintain database performance and ensures that only relevant records are quickly accessible while still preserving the old data for future reference if needed.     Step-by-Step Guide to Archive Old Records in Bubble.io     1. Create an Archive Database Table
  • In your Bubble.io project, navigate to the Data tab.
  • Click on the Data Types section to define a new data type that will be used for archival purposes. For example, if you are archiving old ‘Orders’, create a new data type named ‘Archived Orders’.
  • Ensure that the new data type has the same fields (and data types) as the original data type that you plan to archive.
    2. Create a Workflow to Move Records
  • Go to the Workflows tab and create a new event for archiving records. This could be triggered by a button click, a scheduled workflow, or any specific event as per your needs.
  • Add an action to “Create a new thing” and set the type to the newly created data type (e.g., ‘Archived Orders’).
  • Map each field of the original record to the corresponding field in the archive data type.
  • Include an action to delete the original record after it has been copied to the archive database. Use “Delete a thing” and set it to the original record.
    3. Schedule Regular Archive Processes
  • Use Bubble’s “Schedule API Workflow” feature to automate the archiving process regularly, such as daily or weekly.
  • Define the conditions in the scheduled workflow to filter the records that need to be archived. For example, archive only orders older than a specific date.
  • Loop through the filtered records and apply the workflow defined in step 2 to each record.
    4. Implement User Access to Archived Data
  • Provide an interface in your app to allow users to view archived data when needed. Add a page or a pop-up with a repeating group that displays items from the ‘Archived Orders’ data type.
  • Allow users to search and filter archived data in the same manner as active data.
    5. Monitor and Maintain the Archive Process
  • Regularly check the archive workflows to ensure they are running without errors.
  • Set up alerts or notifications if the archiving process encounters any issues, so you can promptly address them.
    6. Backup Archived and Active Data
  • Periodically create backups of your entire database, including both active and archived records.
  • Use Bubble’s database export feature or third-party tools to export data and store it securely.
By following these steps carefully, you can efficiently manage your database in Bubble.io, ensuring that old records are archived appropriately, which helps maintain optimal performance and data availability in your application.
