How to create a multi-field lookup in Airtable?

Step 1: Set Up Your Tables

Alright, first things first. Make sure you've got at least two tables in your Airtable base. For this guide, let's call them:

  • Table A - This is where you'll do the lookup.
  • Table B - This is where the data you need is stored.

Step 2: Create a Linked Record Field in Table A

Head over to Table A and create a new field:

  • Click the "+" icon to add a new field.
  • Choose "Link to another record".
  • Pick Table B as the table to link to.
  • Save the new field. Easy peasy.

Step 3: Add Lookups to Table A

Now, for each field in Table B that you want to reference in Table A:

  • Still in Table A, click the "+" to add a new field.
  • Select "Lookup".
  • Choose the linked record field you just created in Step 2.
  • Select the specific field(s) from Table B you want to look up.
  • Save the new lookup field. Done and done.

Step 4: Add More Lookup Fields as Needed

Need more fields from Table B? No problem. Just repeat Step 3:

  • Add another field to Table A.
  • Select "Lookup" again.
  • Choose the linked record field.
  • Pick another field from Table B.
  • Save the lookup field. Rinse and repeat.

Step 5: Fill the Linked Record Field

Time to populate that linked record field in Table A:

  • Click on a cell in the linked record field.
  • Select the appropriate record(s) from Table B.
  • The lookup fields will automatically fill in based on the linked record. Magic, right?

Step 6: Customize Field Visibility and Usage

Lastly, tweak the visibility and usage of the fields in Table A if needed:

  • Use the "Hide field" option if some lookups are just extra and not needed all the time.
