How to configure Airtable to send reminders for due dates?

Step 1: Create or Open Your Airtable Base

First things first, open up Airtable and head to the base where you want to set up those handy due date reminders. If you don't have a base yet, no worries! Just create a new one and add all the fields you need, including a "Due Date" field.

Step 2: Ensure You Have a Date Field

Make sure you've got a field in your table that captures the due date. This field should be of the type "Date." Name it something clear, like "Due Date."

Step 3: Create an Automations Tab

Navigate to the top right corner and click on the "Automations" tab. Then, click on "Create an Automation."

Step 4: Set Up the Trigger

In the "Trigger" section, choose "When record matches conditions." Set the condition to trigger when the "Due Date" is equal to "Today." This means the automation will trigger when the due date matches the current date.

Step 5: Add an Action

Click on "Add Action" and choose "Send an email." Alternatively, you can choose "Send a Slack message" if you prefer using Slack for notifications.

Step 6: Configure the Email Details

Fill out the email details:

  • To: Add the email addresses of the recipients.
  • Subject: Write an appropriate subject line, such as "Due Date Reminder."
  • Message: Customize the message body to include relevant details, like the task or project name and the due date.

Step 7: Test the Automation

Click on "Run Test" in the "Automation" section to ensure the email gets sent correctly. If the test is successful, you'll see a confirmation message.

Step 8: Turn On the Automation

Once the test is successful, switch the automation from "Off" to "On." This will enable the reminder system to work automatically.

Step 9: Verify Everything

Make sure to verify that all conditions are set correctly and that the right people are receiving the emails. You may also want to keep an eye on your first few reminders to ensure they are functioning as expected.

Step 10: Customize as Needed

Feel free to customize the trigger conditions, the message content, and other settings as needed to better fit your workflow. For example, you can set conditions to trigger a day before the due date by adjusting the “Due Date” field conditions.
